Once you've determined who the email is intended for, you can begin designing it. First and foremost, it should include a subject line. You should not send an email without a subject line, as it is likely to go straight to spam or be difficult to find among other emails:
1. The subject line should state clearly what the email is about; the recipient will then decide whether to open it;
2. It is critical to demonstrate concern for the reader in the text. The letter's tone should be respectful and neutral, with no flirting, begging, or rigid frames like "Buy only from us, others have bad goods";
3. In a cold letter, it is preferable to speak to the addressee in a calm tone; overly emotional letters can irritate and discourage the desire to continue working. The recipient's willingness to continue communicating with the company's employees is heavily influenced by the tone of the letter.
Wrong:"You haven't purchased an office downtown yet! Then we must meet immediately to discuss this misunderstanding!""Our company installs the best telephony in town, quickly. It is time to change operators!""The opportunity to receive our product is once in a lifetime! I eagerly await your response, whether positive or negative."Correct:"We sell commercial real estate in the city center. The cost per square meter is XXXX dollars.”"We install IP telephony in offices, allowing you to receive up to 100 calls at once. In the letter, you should clearly state what you are willing to offer. It is not necessary to describe the company's history, accomplishments, and long path to success. At the end of the letter, you can ask the recipient what they think of your offer and offer to meet to discuss potential collaboration. At the first meeting, you will most likely be unable to sign a contract, but you will be able to tell them more about the product:
"If you are interested in the proposal, we can schedule a call to discuss the issues you are interested in.”
